Hoedown HQ Pty Ltd – Booking Terms & Conditions

By booking with Hoedown HQ Pty Ltd (“we”, “us”, or “our”), you agree to the following terms and conditions:

1. Booking & Payment

• A non-refundable deposit is required to secure your event date.
• The remaining balance is due no later than 7 days prior to the event, unless otherwise agreed in writing.
• Late payments may result in cancellation or additional fees.

2. Cancellations

• Cancellations made within 30 days of the event will result in the loss of any deposit paid.
• Cancellations made earlier than 30 days may be eligible for a partial refund, at our discretion.
• Rescheduling may be offered subject to availability and must be confirmed in writing.

3. Travel Fees

• Travel fees will apply to events held 30km or more outside of the Perth CBD radius.
• Travel costs will be quoted based on distance, time, and logistical requirements.

4. Subcontractors & Third Parties

• Hoedown HQ Pty Ltd may engage subcontractors to deliver parts of our services. All subcontractors are vetted and expected to meet our professional standards.
• While we coordinate with care, we are not liable for any acts, omissions, or issues arising from services delivered by subcontractors.

5. Referred Vendors

• We may recommend or refer external vendors (e.g. caterers, décor, entertainment) for your event.
• These vendors operate independently, and Hoedown HQ Pty Ltd takes no responsibility or liability for their performance, products, or services.
• It is your responsibility to engage, communicate with, and confirm arrangements directly with referred vendors.

6. Liability & Insurance

• Hoedown HQ Pty Ltd holds Public Liability Insurance up to $10 million.
• While all reasonable safety measures are followed, line dancing and related activities are participate-at-your-own-risk.
• For events with 50 or more attendees, it is the responsibility of the booking party to ensure any additional insurance coverage (including event or venue-specific policies) is arranged as needed.

7. Client Responsibilities

• You agree to provide a safe, clean, and suitable space for line dancing activities.
• Any specific venue requirements, restrictions, or permits must be disclosed at the time of booking.
• Children under 12 must be supervised by an adult at all times during activities.

8. Media Release

• Unless otherwise requested in writing before your event, Hoedown HQ Pty Ltd reserves the right to use photos or videos taken during the event for promotional purposes.
